Introduction :
The SOPD of QMH comprises diverse specialties across different floors, offering highly specialized and unique specimen testing for complex cases. Previously, patients from various clinics in the SOPD were required to submit their specimens to the respective clinics. The centralization of specimen collection at a designated station on the ground floor is a risk mitigation measure that facilitates greater convenience for patients.
Objectives :
1. To ensure an efficient and safe specimen collection service with streamlined standard operating procedures.
2. To deliver a high-quality pathology-based service with quality control surveillance.
3. To maintain a high level of efficiency and functionality by providing a single specimen collection point.
4. To offer excellent customer service by prioritizing patients’ needs.
Methodology :
Scrutinized the service needs and conducted process mapping. The physical layout was designed for optimal workflow, considering areas for specimen reception, storage, and processing. Developed standard operating procedures that delineate specimen labeling, storage, and collection by the pottering service. Protocols were established to ensure specimen integrity and compliance with required standards. Training was conducted for all personnel involved in specimen handling regarding the new procedures.
Result & Outcome :
The service began collecting specimens from outpatient SOPD/QMH on October 14, 2024, and subsequently extended to collect specimens from discharged inpatients of QMH on December 2, 2024. Ultimately, it supports specimen collection for all patients of SOPD and non-SOPD/QMH. Since the commencement of the Specimen Reception Counter, more than two thousand specimens have been received monthly. An unexpected added value of the counter was providing direct general inquiries for patients, which has been highly appreciated. Regular review of processes and outcomes were conducted to identify areas for further enhancement, and regular updates on performance and effectiveness were provided to stakeholders to seek advice for continuous improvement.
The implementation of the Specimen Reception Counter was a critical step toward enhancing the efficiency and effectiveness of specimen handling in the outpatient setting of QMH. The Specimen Reception Counter not only supported the immediate needs of specimen reception and processing but also aligns with patient-centric care, enhancing patient satisfaction during their journey in the Specialties Outpatient Department of QMH.
