Introduction :
The traditional whiteboard system has long supported task management among interns in clinical settings but suffers from limited space, legibility issues, and the lack of real-time updates. To address this, we developed a cloud-based electronic platform tailored for clinicians, nurses. and physician assistants at United Christian Hospital. This platform aims to optimize operational efficiency and enhance healthcare providers' ability to deliver timely, accurate, and personalized care by improving real-time data tracking, minimizing manual entry errors, and enabling remote feedback to facilitate informed decision-making and improve care coordination.
Objectives :
The objectives of our initiative were to: 1. Enhance real-time task tracking and logging. 2. Streamline task processing to improve workflow efficiency 3. Facilitate telecommunication for better task distribution and feedback
Methodology :
The project followed a phased approach: 1. Needs assessment: Engaged stakeholders to identify platform features. 2. Platform establishment: structured with four modules, including Dashboards, Nurse Order Platform, Physician assistant and Intern Management Platform. 3. Pilot testing: A pilot was introduced in a medical ward from January 1 to 31, 2024, supervised by department. 4. Large-scale implementation: The Smart E-board is being deployed in a phased manner, ward by ward. It is currently implemented in eight medical wards and scheduled for deployment in two remaining wards. 5. Evaluation: A post-implementation, self-administered survey was conducted from January 1, 2024 to January 8, 2025, with 53 responses received.
Result & Outcome :
The platform demonstrates notable improvements in efficiency and accuracy of task management. Accessibility is enhanced through a cloud-based architecture, which includes convenient access via smartphone by scanning QR code, and real-time tracking or update to task details. Task prioritization, patient-based task grouping, first-in, first-out (FIFO) task sequencing, and task highlighting on the dashboard are key attributes that optimize workflow efficiency and enhance overall task management. Telecommunication can be enhanced by offering a platform to share processed tasks, including their status and remarks. Security measures, such as an account login system, ensure authorized access and protect patient-related information. The platform incorporates additional features such as enhanced legibility, efficient account management, and seamless database integration. The Smart E-board successfully replaced the traditional whiteboard ,improving task management, accuracy, and communication. This project highlights the transformative potential of digital solutions in healthcare setting and encourage the adoption of similar initiatives in other settings.
