Introduction :
Effective inventory management in operating theatres (OT) is crucial for enhancing surgical efficiency and patient care. Manpower and time required for OT equipment management can significantly impact efficiency and accuracy. The implementation of iBeacon technology, using Bluetooth Low Energy (BLE), offers a modern approach to track OT assets, facilitating real-time location services within the OT environment.
Objectives :
This project aims to improve the effectiveness of managing OT assets at Tseung Kwan O Hospital OT by adopting iBeacon technology. The primary objectives include enhancing inventory traceability, streamlining inventory checking processes, and improving the overall accessibility of OT inventory.
Methodology :
The project involved the installation of sensors throughout the Hospital Main Block Operating Theatre areas and the attachment of approximately 200 iBeacon tags to key OT assets, including television systems, consumable item cabinets, electrosurgical units (ESUs) and iPads, since July 2023. A dedicated mobile webpage was launched in March 2024 to provide staff with real-time tracking information regarding asset location and availability. Staff can access the webpage on any computer or mobile device within the OT area. Data was collected on the accuracy rate of asset location, the correctness of asset quantities, and the time taken to search for items.
Result & Outcome :
The tracking system provides real-time data on the location of OT assets, enhancing both efficiency and accuracy. The iBeacon technology achieved an accuracy rate of 97.7% in locating the OT assets and determining their quantities. This high level of precision ensures that items can be tracked effectively, reducing the risk of misplacement or lost. The system allows for real-time updates on inventory status and location, ensuring the availability of items.

The transition from manual inventory checks to an automated iBeacon system has led to a substantial reduction in search time. On average, the time taken to locate each item has decreased by approximately 10-30 minutes. All trackable inventory can be located with a simple tap on the webpage. This increased efficiency translates into reduced workload and faster preparation times for surgeries, ultimately benefits patient care.

The application of iBeacon technology has significantly improved the tracking and management of OT assets, reducing the manpower required for inventory management. This enables staff to focus more on patient care and other critical tasks. Regular stock checks have become more manageable, empowering staff with the tools needed to ensure that essential items are readily available, thereby enhancing the overall quality of care in the operating theatres.
