Introduction :
Comprehensive background information of children is essential for quality personalized-care in Occupational Therapy Paediatric service. If data collection occurs before the initial session, therapists can better prepare and parents can focus on their child's performance. An electronic questionnaire (eQuestionnaire) was composed using the platform developed by KCC IT. Advance data collection allows parents to observe behavior and provide more accurate information. The data would be used for further analysis for better service and resource planning.
Objectives :
I. To improve the patient-centered care by completing the background information collection prior to intake. Background information interview time and manpower would be reserved for face-to-face communication for child’s performance and focus of intervention plan II. To improve service quality by enhancing preparation before intake and spare time for parents to focus on observing their child's performance throughout the session III. To trim the manpower and time used in data collection, data entry and retrieval of background information work step
Methodology :
Parents of paediatric patients who newly attended paediatric out-patient service in KH OT department would be invited to complete the eQuestionnaire. A satisfaction survey was used to collect feedback from parents.
Result & Outcome :
From 16/12/2024 to 15/04/2025, a total of 45 caregivers completed the e-Questionnaire and the satisfaction survey. The results showed that time used to complete the e-Questionnaire was efficient at <5 minutes (51%), 5-10 minutes (40%) and 10-15 minutes (9%). The nature of questions rated at very appropriate (38%) to appropriate (58%); and length of questions rated very appropriate (42%) and appropriate (53%). The ease of use was rated very convenient (53%) and convenient (45%). The willingness to use was high, rated very willing (51%) and willing (42%). The preparation of therapist was rated very well prepared (58%) and well prepared (38%). Parents’ provision of more accurate information in advance was rated strongly agree (47%) and agree (49%). Parents’ level of focus on observing their child's performance was rated very focus (49%) and focus (49%).
The e-Questionnaire yielded an overall > 90% of satisfaction over the 6 aspects including appropriateness, convenience, willingness to use, preparation of therapist, provision of accurate information and level of focus in on-site observation of child’s performance. In conclusion, adoption of the e-Questionnaire for routine use will certainly improve users’ experience, service workflow, efficiency and effectiveness.
